Need your envelopes to look like they are coming from a generic user? If so, check out custody transfer rules.

 

With custody transfer rules, you can automatically transfer an envelope from a user to another user on your account.

 

Custody transfer rules are set up by a DS Admin under Admin > Custody Transfer.

 

When setting up a rule, you can select the “From”. This allows you to control which user or groups the rule will apply to. When these users or groups send envelopes, they will be transferred as a part of the rule.

 

Note: This rule will apply to any and all  envelopes the user(s) or group sends.

 

Next, you can choose the “To”. This is who the envelopes will be transferred to. Here is where you could select a generic user. 

  • For example, maybe you create a user profile named “Company ABC Sales Department” or “Company ABC HR Department” For the email address of this user profile you could use a generic department email address or distro.

 

You’ll then choose the folder where you want the envelopes to be placed in the new user’s account. You can select the Inbox or Sent folder.

 

Finally, you can choose when you would like the transfer to occur. There are a few options:

 

  • On Send - This transfers the envelope after the envelope is sent out to the recipient(s)
    • Prior to First Send - This option transfers the envelope after the sender clicks send, but before it even reaches the recipient. This is the option to select if you are trying to make it appear like the envelope is coming from the new user!
  • On Complete - This transfers the envelope after it has been completed and signed by all parties.

 

Select “Add Transfer Rule” to complete the process! 

 

Note: Once custody transfer rules are created, they cannot be edited. So if you need to update it in the future, you’ll want to disable or delete the rule and make a new one.

 

To take this a step further, consider setting up Shared Access between the generic user who will now own the envelopes and any other users on your account who need to be able to view and manage accordingly. For more information on setting up Shared Access, check out this article!
