Need to be reminded of an important date related to an agreement in Docusign CLM? If so, make sure to utilize document reminders. Reminders can be created for documents to keep track of renewals, expirations, termination notice dates, etc.
Reminders can be created individually from scratch or through a reminder template. Creating a reminder individually from scratch is helpful for a one off reminder that you won’t need to re apply to other documents. Using a reminder template is useful for document reminders that you’ll use over and over again!
To create a reminder template, navigate in Docusign CLM to the Admin tab > Reminder Templates. When setting up a reminder template, review the following settings:
- Template Name - Give the reminder template a name. For example, “30 Day Renewal Reminder”.
- Reminder Name - The reminder name is applied when the reminder template is applied to the document. It is optional within the template, but will be required when the template is applied to the document. Consider adding a reminder name in the template to save a step when applying the reminder template!
- Schedule - This setting controls when (what date and time) the reminder will be sent. There are a few options to choose from:
- Manually - This option allows you to choose the date and time the reminder will be sent. The user will make this selection when applying the reminder template to the document.
- By Template - This option configures the reminder to be sent based on when the reminder template is applied.
- By Document Date Attribute - This option allows you to schedule the reminder based on a document date attribute that exists within your account. If the document has that attribute field applied, the reminder is scheduled based on that date.
- Message Details - This is where the recipients, subject, and message details can be applied.
Once a reminder template is created, it can be applied to a document in various ways. The methods are:
- Manually - Reminder templates can be applied manually by going to the Documents tab > Clicking into the document preview > From the details tab choosing the + to “Add Reminder”
- Automatically through Workflow - Reminder templates can be applied automatically though the “Schedule Document Reminder” workflow step.
- Automatically though a Smart Rule - Reminder templates can be applied automatically though a document smart rule. Just use the “Schedule Document Reminder” action within your rule.
