My organization wants to lower the complexity of collecting signatures for a specific form. This form is challenging because we have 3 dynamic parties and initially only party knows both A and C  

A: My organization

B: 3rd party intermediary   

C: Customer. 

The issue is that A currently has to send the template to B but initially only B knows the name and contact information for C. 

Currently what we’re doing is A initiates the form sending to B and having B use the “Correct Envelope” or “Bulk” process to fill in the information for C. This process happens several hundred times for each party B and is labor intensive for B.  

Staff has requested that I setup a PowerForms and host a link on our site so can initiate the process. However, this creates the same problem in reverse. 

can provide contact information for B and A to C with the Form link to C. Though expecting C to acquire this information and input it correctly, is likely going to be an error prone process. 

If I create drop down selection or automated routing into the form to simplify routing to party A & B this would also be error prone because there are thousands of yearly C, hundreds of B, and about ten different party A. I’m unlikely to be notified when there is staff turnover for A and if I predefine their information it’s going to be error prone and require constant maintenance.   

Core question       

  1. How can I streamline this process without making a mess? 
  2. Is a PowerForm even the correct tool?

In your use case, you'd need to use an Agent Managed Role at some point in the process to address unknown recipients.  Agent Managed roles, in this case— Specify Recipients, when one of these roles is included, you can leave information for signers in subsequent signing roles blank, with the intention of a specific recipient ( Recipient B ) filling in the name and email of the next recipient's details. A key note is that the Managed Role selected must be suitable for your business use. Specify Recipient roles are specifically allowed to enter missing details, whereas Update Recipients and Allow To Edit provide a higher level of control, including adding/removing additional recipients, up to correcting the overall agreement as if they were the envelope sender.
