We may encounter the following scenario an would like to know if we are going to face any blockers.

We are sending a document to a colleague John Doe - we have entered his business email and we are requesting the Qualified Electronic Signature (QES) from John.

John received an email on his business email (as expected).

However, John had already verified his identity, as he had to do it for some personal transactions a few months ago. Back then, he used his personal email address when verifying his identity.

The question is - can John sign (QES) the document sent “via” his business email address?

Many thanks!

Hello @ana ST,

Thank you for reaching out, and a warm welcome to the Docusign Community! We are absolutely delighted to have you here and can't wait to share our knowledge with you.

I understand a signer has already verified his Identity before using his personal email address, You sent an envelope to his business email, and you would like him to authenticate/sign (QES) using his business email address. Rest assured I will do my best to explain this.

What John did using his personal email address differs from the envelopes sent to his business email address. We consider this to be sending to two different signers. If you mean that John created an IDV wallet when signing with a personal email, this wallet will not be used to sign the envelopes sent to the business email. He will need to log in to his old wallet to use it. and he won't be able to do that if he signs the envelope sent to the business email. He will be able to create a new wallet associated with his business email (if needed and allowed by the sender's account settings)
ID Verification stores the following data in the wallet:

  • First name and last name
  • Email address
  • Phone number
  • The information extracted from their ID Document

So, a different email = a different signer. This is if John created the wallet account when signing in with his email. New envelope = new verification. Article: Identity Wallets

Dear Melanie,

Thank you so much for your exhaustive answer!

While it provided clarity over my initial questions, it also created a few more:

In particular:

So, a different email = a different signer.

  1. If John has to verify his identity again, using his business email, is this going to create a second Identity Wallet for him? If yes, is he going to encounter any issues when verifying his identity again? E.g. if he uses the same ID card as with the first process (when he used his personal email).

  2. Could you please you confirm that John would have multiple Identity wallets, e.g.:

    Wallet 1:
  • First name and last name: John Doe
  • Email address: John.Doe.Personal@gmail.com
  • Phone number: + 49 111 222 333
  • The information extracted from their ID Document: John’s only ID card he has

    Wallet 2:
  • First name and last name: John Doe
  • Email address: John.Doe.Professional@business.com
  • Phone number: + 49 111 222 333
  • The information extracted from their ID Document: John’s only ID card he has (the same as in Wallet 1)

New envelope = new verification.

  1. I hope this does not mean that John will have to do a full identity verification each time he receives an envelope on his business email? But instead, he will be able to use his Identity Wallet (linked with his business email) and the passcode, am I right? 🙂

Many thanks in advance!

Kind regards,
Ana

Hello @ana ST,

You are welcome! Regarding your follow up questions. In order for the customer to create a wallet, they need an active Docusign account under the email address in question. It can be a free signer account, but it needs to be active and they need to be able to log into it. Assuming the customer has active logins for both email addresses, then they'd need to set up wallets separately for each account. Our system doesn't reference other existing wallets when it runs ID Verification or determines if a new wallet can be created.

Let us know if you need further assistance. Have a great day!

Hello Melanie,

Thanks once again for your helpful replies.
All clear regarding the wallets. Would you mind clarifying what you meant by “New envelope = new validation”, and if my understanding was correct (third question of my post above)?

“New envelope = new verification.”

I hope this does not mean that John will have to do a full identity verification each time he receives an envelope on his business email? But instead, he will be able to use his Identity Wallet (linked with his business email) and the passcode, am I right?

Many thanks!

Kind regards,
Ana

Hello @ana ST,

You are correct. When the envelope is sent to the account where the business email is linked,  he can use his Identity Wallet, stored there. Let us know if you need further assistance. Thank you!
