Hello,

I have a problem with a bulk-send template. I created a template where the name of the employee and its personnel number should be populated out of an CSV file and should be first signed by the manager and after that signed by the employee.

I have now two custom fields “Employee::FullName” & “Employee::PNr” which correctly fills the section but just AFTER the manager signed it. The issue is now the manager signs a document where he does not see for which employee it is. They only see the populated fileds after the signature of the employee.

Is there a way that the document is populated with the information of the employee before the manager signs the document? and just after the managers signature will be sent to the employee to finalize it?

Best,

Alex

You can keep the manager as Signer 1 and the employee as Signer 2.  Then you can change the data fields belong to the manager but change them to read only on the template so the Manager cannot change it.  I think that should work.

Yeah, this is fixable, but you need to change the order in which you populate the fields and how the recipients are sequenced. Right now, your CSV values are getting injected only after the manager signs because the routing order and field-label setup isn’t aligned with how Bulk Send populates template fields.

Bulk Send loads the CSV data into recipient-level custom fields or envelope-level custom fields before sending, but template fields that belong to later recipients don’t show their values until that recipient becomes “current” in the routing order.

Your two custom fields are being treated as part of the employee recipient, so the manager gets a “blank” doc.

Hi @JohnSantos,

thank you for the quick response!

Is there a way then to change the sequence and that the manager is still the first one to read through the document before they sign? OR do I need to change that the employee and the manager sees the document at the same time?

Best,

Alex

Hi @JohnSantos ,

I actually tried out some things in the meantime and I somehow doing it right now as you proposed. The only thing is that if you have one fixed signer1 it will not let you use data fields for signer1. I deleted the contact details now and filled in for signer1 now always the same name and email address and now it works. Prbly not the best solution but it still works :D

Best,

Alex

Hi @AlexHGglad you checked in!

To add. To ensure the second signer's information is visible to the first signer, you can enable the setting "When an envelope is sent, write the initial value of the field for all recipients" under Settings > Sending Settings > Field and Properties? 👉 How do I share the information in all fields with all recipients when sending a document?
The reason for this behavior is that the fields are assigned to the signer in the second routing order. Normally, without the setting enabled, the field won't be populated until the envelope reaches the second recipient, thus preventing the previous recipient from seeing the information.
