Hi everyone,

I had a few queries around the Template matching and general restrictions which can be applied to users. The users are Bank Staff sending out confidential and critical onboarding/contract documents to customers for their signatures.

  1. Can we prevent users from sending out envelopes with uploaded documents where the document has not been template matched, as-in a hard block? We’ve experimented with the Sending settings feature - “Require a template for all envelopes sent from this account”; however, bankers can still get around this by selecting ‘Advanced edit’ and adding additional documents to the envelope canvas which are not template matched, before sending them out.
  1. Is there any setting which blocks the ‘Send’ option when a document has not been Auto-template matched. For example, a banker has uploaded a document and it's not auto-template matched for legit reasons, can we prevent the banker user from sending out that envelope?

Would love to receive feedback and options on how these can be achieved.

We understand your need to implement general restrictions on envelopes sent from your account. While there isn't an account-wide setting that directly achieves your desired outcome for blocking the sending option, you may consider this approach to help you achieve your goal. This process will require users to send envelopes using a template with no option to create new envelopes, limit the changes that senders can make when using a template, and grey out the upload document option when sending via the template.
Step 1: Enable the 'Require a template for all envelopes sent from this account' setting. This will ensure that senders can't send envelopes without first selecting a template, aligning with your goal of all outgoing envelopes originating from a Template 👉Templates

Step 3: Disable the document upload option for relevant user permission profiles. This will prevent users under those profiles from uploading new documents, ensuring they adhere strictly to the template's pre-defined content. 👉 Permission Profile Options

We have the same question, as we are trying to prohibit end users from modifying the Subject and Message fields in the Add message section when creating an envelope. We have enabled “Require a template for all envelopes sent from this account” setting enabled, and our end user templates have the Advanced Option for “Allow senders to edit the subject, email, or private messages” setting unchecked, but these restrictions don’t appear to apply if either:

  1. No matching template is found
  2. The user is prompted with a list of matching templates, but the user clicks Cancel instead of Apply.

In both of these cases, the user is able to send an envelope without a template and modify the subject / email body, which contradicts the “Require a template for all envelopes sent from this account” setting.
