I work for a K-12 private school and we want to require both parents to sign our student handbook (for some grades, the student will sign, as well). My wonder is, what will happen if we use bulk send, but it is a single parent situation? The goal would be…
Role 1: Parent 1 Role 2: Parent 2 Role 3: Student
What will happen if I try to bulk send but no one is listed for Role 2? I plan to make those fields optional instead of required, but will the bulk send even work if that information is missing on the CSV file? Would I have to send it to Parent 1 a second time?

Hi @swilliamson_nca Thank you for reaching out, and welcome to the Docusign Community! We appreciate your question and assure you that we are here to help! I just wanted to confirm if Parent 1, Parent 2, and Students need to be in the same envelope or separately.

Yes, they all need to be in the same envelope because they will all be completing portions of the document.
Hi @swilliamson_nca I tried to reproduce the issue based on your details above using bulk send; however, if you leave the Role 2 details blank, you will get an error, and the CSV file will not be uploaded. Also, using bulk send, all recipients will receive a separate envelope copy. If you want them all to be in just one envelope, I suggest you put them in signing order and use conditional routing instead. See articles below.
If your envelope has more than one recipient, you can choose to set a signing order. The signing order helps you control the order where your recipients receive and sign your documents.
A convenient signing order diagram helps you visualize how your envelope will be distributed to the recipients.
With Set signing order enabled, you can specify a recipient routing order. You can set up a simple sequential routing order, where each recipient receives the email notification once the previous recipient has completed their action. You can also have a mix of sequential and parallel routing.
When you use a signing order, you can route an envelope to the same person multiple times. For example, you want to send a purchase order to your manager to approve, then send it on to purchasing to sign, and finally send a copy to your manager again.
With Set signing order turned off, all recipients receive the document in parallel.
EXAMPLE–Sequential Routing
If your business sends SOW contracts for client approval, and your client has two approvers (the project manager and the finance officer), you need the project manager to approve it first.
After both approvals, you send a copy to your firm's accounting manager. With Set signing order enabled, you can arrange this sequence so that each recipient receives and signs the document in order.
Set Up or Edit Conditional Routing
To set up conditional routing for a recipient, you define a routing rule set. Each envelope has one rule set based on one or more recipient fields. The recipient's actions on these fields determine the routing.
After setting up conditional routing, you can edit the routing rules before sending or when correcting the envelope.
Note: Each envelope with conditional recipients can have up to 200 routing rules, and each rule can include up to 20 criteria.
This task explains how to set up a simple routing example using a single formula field. The envelope includes one regular signer and a conditional group with two possible recipients. The routing rules decide which recipient is chosen.
Add fields for your regular recipient, including the fields you will use to define your conditional routing (text, radio, checkbox, dropdown, or formula).
Select the conditional routing group name from the Recipients list and add fields as needed. These are the fields that will be assigned to whichever conditional recipient receives the envelope to sign.
Select the recipient field to use for conditional routing and, in the properties panel, expand the Rules section property and select OPEN RULES.
You can also select the Rules icon in the banner above your document to open the routing rules.
To add your first rule, select ADD RULE.The rules panel shows the new rule with the selected field listed.
Important: Two rules must be added for conditional routing to work correctly. Add rules for both scenarios: when a field has a value and when it does not. An empty field for Recipient A will cause the envelope to fail instead of routing to Recipient B.
Define the rule criteria to route the envelope based on the selected field's value.
Text fields: set a rule based on whether the field has any value, no value, or a specific value.
Text fields with number validation: specify numeric evaluations, such as Less Than or Equal To.
Formula fields: specify numeric evaluations, such as Less Than or Equal To.
Dropdowns: set a rule based on the selection of a list option.
Radio buttons: set a rule for the group based on which button is selected.
Checkbox groups: set rules on individual checkboxes in the group and specify whether they are selected or not.
(Optional) To define multiple criteria for a rule, select a field to use and select the +. All criteria must be met to route to the selected conditional recipient.Example: This rule requires that the Formula field is less than 1000 and the checkbox is selected to route to the specified conditional recipient.
Specify the conditional recipient in the ROUTE TO recipient list. The list shows all routing groups and group members defined for the envelope.
Example: This rule specifies that if the formula field is less than 1000, the envelope is routed to Joshua Banks.
To add more rules to the rule set, first select the field to use for the rule, select ADD RULE, and complete the rule details.
Example: These two rules together ensure that the envelope is routed to the standard approver (Joshua) if the total is less than 1000, and to the exception approver (Pooja) if the total is more than 1000.
Select DONE to close the routing rule set.
Finish preparing your documents and select SEND to send your envelope, or SAVE AND CLOSE to save your template.
