👋 Hey Docusign Community! We’re excited to feature Chris Lavin from AAA Washington in our latest async-style ask me anything (AMA)—open now through July 31. Comment with a question for a chance to win a gift of your choosing 😉

Topic for this AMA: How to modernize agreement workflows

How do you take a 120-year-old organization and bring it into the digital age?

That’s the challenge Chris Lavin faced at AAA Washington. Agreements were stuck in outdated workflows, slowed down by printing, scanning, and tracking forms manually. By reimagining how agreements flow using Docusign, Chris helped cut turnaround time from 14 days to just one day.

👉 In this AMA, Chris is sharing what worked, what didn’t, and what he wishes he knew earlier. Got a legacy agreement process that needs a refresh? Facing internal resistance to going digital? Drop your questions for Chris below—he’s been in your shoes.

@Chris.Lavin What were the biggest digital transformation hurdles and how did you overcome them?

@Chris.Lavin Are your users creating their own templates or are you centrally managing these? Also, how is AAA managing the storage and retention of agreements after they are fully executed?

@Chris.Lavin Our adoption of DocuSign has been great so far but is starting to become complicated. It looks like we’ll need to start having separate environments for various departments in the firm but as we use envelope fields for everything, what’s the best way to standardise these environments so that we don’t have to do repeat work eg setup new entries into the field lists, or Agreement Actions? It seems that to have a ‘tidy’ system I have to do repeat setup in each environment which is time consuming. How do you deal with this?

Hello @Chris.Lavin

It is good to know about you and hear how DocuSign has supported your digital journey. As part of the insurance division, I am curious how much potential do you see in AI-powered agreement management within the travel or insurance sectors?
I’d love to hear your thoughts on how this technology could enhance processes and create new opportunities in your space.

Thanks!

The biggest hurdle was getting our users to trust the process and that their clients would want to go digital. I can’t tell you how many times we heard “my clients will never want to use this - they want to come in and sign everything.” Turns out - they don’t!

My advice is - start with one use-case and once everyone sees how easy it is for THAT they will want to try other ways to save time.

@tammy.k

We try and manage the templates centrally. It is daunting. The hardest part in the insurance space is that we don’t own the source documents. Our carriers can make a change to the layout of their applications, and we have to wait until we find that change and then react.

As far as storage, we are using DocuSign, but we are also storing in our Agency Management System

@SueE

I wish I had a better answer for you. We have had the same experience. Good news...different teams are using the tools and improving efficiency. Bad news: those fields need to be set up separately. I would recommend that if there are common fields, maybe the naming standard allows for you to specify department.commonfield, that way if you are using those fields in reporting, you can break it out faster!

@Pawan Gangwani

AI is definitely part of the future of insurance (and travel). As for agreement management, I’m not sure if I am the right person to venture a guess. I think AI is going to be a huge improvement for Quality Assurance. I believe AI will give us a better understanding of the risks in our household or business. But the structured and, frankly, highly regulated aspect of insurance will probably be a slower development.

Thanks to everyone who participated in this AMA! 🙌 We loved seeing your questions and conversations.
