Enable targeted sharing of saved searches (not global-only)

Currently, only Admin users can share saved searches. However, when an Admin shares a search, it is automatically shared with all CLM users, regardless of relevance.

In our case, a non-Admin team member created a shared search for a specific research project and a defined group of users. Because she did not have Admin rights, she could not share the search. When an Admin attempted to help, we discovered that Admins can only share searches globally, not with a subset of users.

This creates two challenges:

  • Searches intended for a small project team are exposed to all users

  • Admin involvement is required even for limited, project-specific sharing

Proposed Enhancement

Allow saved searches to be shared with:

  • Specific users

  • User groups / roles

  • Project-based teams

rather than only “all users.”

Additionally, consider allowing non-Admin users to share searches within permitted groups, while maintaining Admin controls for broader sharing.

Impact

  • Improves usability for project-based and research workflows

  • Reduces clutter and confusion from irrelevant shared searches

  • Minimizes unnecessary Admin involvement
