I’d like to come back to the topic of getting shared access to DocuSign. Previously, we were granted shared access without the information that the access was for the entire profile and no old files could be hidden or deleted, due to that to protect some of the data, we revoked the access. However, upon checking possible solutions, Google says for DocuSign folders can be created with specific permissions, so it seems we could create a new folder for future documents only and grant access to others to that folder solely. The other option would be to move the old documents to a folder that would be restricted from view. Can you please explore these options and let me know if this solution would be possible?

In Docusign, Shared Access works at the user level. When you share access to someone’s envelopes, the delegate sees all that user’s envelope folders (Inbox, Sent, etc.), and there’s currently no way to grant Shared Access to only one folder. The “folder permissions you may have seen online apply to shared template folders.

You may have your Docusign Admin create a new, generic user account (e.g contracts@yourcompany.com) for future documents. You can then grant Shared Access to that specific inbox for your team, keeping your all your old, sensitive documents completely private.

Hi,

Could you please provide the steps of creating account on generic ID - Docusign Admin create a new, generic user account (e.g contracts@yourcompany.com) for future documents. Please explain elaborately, if we create this then what we have to do to resolve this issue?

We appreciate you reaching out to the DocuSign Community and we apologize for the delayed response.

Only the account administrators can grant shared access permissions to users. Please reach out to your admin to request for the four users mentioned.

Regarding the generic user account, this works similarly to adding a new user. You can create an email using your company’s domain and add it to the account. This account can then be used to store documents that specific users can access.

This approach helps limit visibility, as users with shared access won’t automatically see all documents from others. Instead, they can choose which documents to move or transfer to the generic account.

I am a Docusign, can we able to create docusign account using  generic account like shared mailbox? if so please provide the steps to fulfill the request for those 4 users

I appreciate your response. Yes, you can create and add a user using a generic email (such as a shared mailbox) as long as it can receive emails for activation and notifications.

After it is activated, you can set up shared access to allow multiple users to manage envelopes from that account. Kindly refer to this article, “Shared Access to Envelopes,” for the instructions.

Additionally, you can configure a custody transfer rule to help route envelopes to the generic account for storing or viewing. Please review the article for the detailed steps and guidelines. Add Envelope Custody Transfer Rules

Hi Team,

This seems to be getting extended, so I’d like to clarify a few points.

As per our organization’s policy, we do not create generic-named accounts in Docusign. Additionally, based on your earlier confirmation, the old documents have already been moved to a private folder.

Could you please provide clear steps for moving the folders (whether via OneDrive or local storage), as the user is not satisfied with the current response?User confirmed that it cannot be moved to another folder and cannot deleted, need still in Docusign.

Alternatively, please let me know if we can schedule a call to discuss and resolve this.
