Hi there,

We sent out some documents for clients to sign in the following order:
1. Signatory 1
2. Two joint signatories
3. Signatory 3
 

The last signatory required changes to be made in the form of a text box at the back of an Authority to Proceed, which was a mandatory field, as well as signatures and dates in several other areas. 


However, because of this, the signing order seems to have been mixed around, as per the attached screenshot. The first signatory appears to have signed at 3:42 PM, the third signatory appears to have signed at 3:39 PM and the joint second signatories have received a copy at 1:13 PM.

In reality, all parties have signed in the desired order, based on the emails we received:
1. First signatory signed at 1:13 PM
2. Joint signatories signed at 1:31 PM and 3:28 PM respectively
3. Third signatory signed at 3:39 PM

Now, because of the changes made by the third signatory, the signatures made by the joint second signatories are no longer appearing on the documents. Moreover, the envelope does not clearly say that the documents have returned to the joint second signatories, however, this is the message we see on the homepage. 

Is it always the case that if the final signatory has been mandated with a text box to fill out, will the signing order reverse so that the remaining signatories have to approve the changes made by the final signatory? Is there any way that this can be avoided.

Any thoughts or clarification on this matter would be much appreciated.

It looks like you set up “collaborative” fields and require other recipients to initial, if the field value changed.

This would explain why after signer 3 has signed it needs to be signed again by signer 1 and the two signers on signing order 2. You can find all relevant details, if you look into the history of the envelope.

To change this behaviour you need to change the text box assigned to the last recipient not to be collaborative or remove the checkbox that the other signers need to initial, if changes are made.
