Question

In-Person Visibility Invalid because Hosting

I have an issue with the In-Person templates I’ve created. And hoping someone can help me with a work around. Here is the situation…..the designer/sender is in the clients home. They design and sell the job. The Sender fills and signs the contract and because it’s in person the sender is the “Host” for the client. The client signs.

But the contract is not finalized because we want the designer / sender to go home and upload their confidential pricing worksheet to the contract. Once they’ve uploaded this the Contract is complete. BUT because the host is the designer/sender for the client. The Client can now see the confidential pricing. The Document Visibility is invalid when the host is the sender.

I tried to password protect the pdf but DocuSign doesn’t allow pw protected documents. Is there another way yo encrypt the confidential pricing or a different way to set up the envelop template?

Thank you so much for your time

Hello @Kelder

Thank you for reaching out, and welcome to the Docusign Community! Thanks for providing the detailed explanation. What you’re seeing is expected when the designer is both the sender and the In-Person Signing host. Document Visibility cannot reliably be used to keep a document confidential from the sender/host, and password-protected PDFs are not supported for upload.

The safest workaround is to use two envelopes:

  1. Send the customer-facing contract in the first envelope. The designer can host the In-Person Signing session and the client can complete the signing.
  2. After the signing is complete, send the confidential pricing worksheet in a separate, internal-only envelope to the designer, finance team, or another authorized recipient. You can reference the original envelope ID in the subject line or a custom field.

If you need to keep everything in one envelope, you could test using a different internal user as the sender, with the designer acting only as the host. The pricing worksheet should be assigned only to an internal recipient, with no client tabs or access. However, this setup should be tested carefully because a document cannot be hidden from a recipient who has tabs assigned to it.

I would recommend the two-envelope process for the most reliable separation of customer and confidential pricing information.
