Question

Can we display a generic name instead of the actual user in the CoC?

Hi,

We are considering an operation where authorized Legal or General Affairs staff perform approval/signing actions on behalf of the company.

In the Certificate of Completion, we would prefer the Signer Events section to display a generic organizational name, such as “Company Authorized Signer”, rather than the individual name and email address of the person who actually performed the action.

We tested a Signing Group, but although the group name appeared in the certificate, the Signer Events section still displayed the actual group member’s name and email address.

We also tested using a shared/distribution email address as the recipient, but this did not give us the desired result either.

Is there any supported way to:

  1. Display a generic name and/or shared email address in the Signer Events section of the Certificate of Completion instead of the individual user's name and email address?
  2. Keep the identity of the actual user available in the audit trail, while not displaying the individual’s information in the Certificate of Completion?
  3. If this is not possible, is displaying the actual individual who performed the action an intentional design of the Certificate of Completion for audit purposes?

We would appreciate clarification on the supported configuration and recommended approach for this use case.

Hello @MiKi,

Thanks for reaching out, and welcome to the Docusign Community!

We understand your request to display a generic company name while keeping the individual signer’s identity available for audit purposes.

At this time, Docusign does not support this configuration. The Certificate of Completion is itself the audit record and is designed to identify the person who performed the signing action.

This also applies to Signing Groups and Delegated Signing: the group member or delegate who completes the action is identified in the history and Certificate of Completion. A shared email address does not change the authenticated signer’s identity.

You may submit this functionality request for future enhancement through the Docusign Idea Dashboard. That’s where ideas from Docusign users like you can submit ideas to improve Docusign’s features, and where you can also vote on ideas from other members.

I hope this help clarify things. Let me know if you have any questions.
