Question

Flexible Authorized Signatory List

Forum|alt.badge.img+2

Hi all

I am new to the community and I tried to search but didn’t see anything that fit my question. We are trying to set up an Authorized Signatory List (“ASL”) through DocuSign and there are 34 people to sign which can become quite cumbersome. We have issues where some signers use the wrong signature or something goes wrong and we have to void the whole thing and have everyone sign again. Is there a setting or product that will make this process more flexible if signers make a mistake to fix it without needing to resubmit it to all signers again etc.

Thanks.

PL

Hello - I think that we have a similar situation / issue.    We currently have one list of signatories that contains their name, title, phone, email and a ‘wet’ signature.  Once all data and signatures are compiled, the document is routed to the President/Partner/etc. of the client to certify.   So, if you have 34 signatories, it will be very difficult for everyone to get it right!

One thing that we did to help was to insert a Recipient at our company as a Reviewer before the document is routed to the final signer at the client.   Then, we made all of the fields collaborative which allows us to make modifications to the data if needed.  For example, if the name was spelled incorrectly we could change it.   This approach should address problems with the data.

For us, the issue is around the wet signature.  Someone will inevitably upload a signature image that is not good quality which requires us to use Copy with Field Data and re-route it for everyone to sign again.

To address this, we are considering the separation of the wet signature from the signatory list.    In other words, we would just have the name, email, title and a standard (font) signature of the signatory on that list and we would separately gather ‘wet’ signatures for those signatories that will be signing checks.    We are still vetting this out with our legal / risk departments.

I’m interested in hearing other recommendations!

Yes we usually have to re-send 3-4 times to get it finalized. My thought is that yes we want to use DocuSign to coordinate and gather everyones signature in one document but the document itself isn’t necessarily a legal agreement between the signing parties. Therefore, it would be great if DocuSign had a feature where security restrictions are less stringent (as it's not an agreement but a display of signatures) allowing signatures to be resubmitted by the signer without the requirement to resend to all other signers. That would be the best option.
