Needs to Sign role receiving notification while Needs to View is still reviewing document

I have a template with three roles and the order I want to keep is:

  • Role 1: Needs to View
  • Role 2: Needs to Sign
  • Role 3: Needs to Sign

My ideal workflow consists of the role 1 viewing the document and only after the approval, the envelope is sent to role 2 and 3 for signatures. However, I noticed that as soon as the role 1 opens the envelope, role 2 also receives the notification.

How can I prevent role 2 from receiving the envelope notification while the role 1 is still reviewing it? Should I actually set role 1 as Needs to Sign and request the consent via an Approve button?

Any recipient type that does not require an explicit “action” (for example, “Needs to View”) will not block the envelope from moving forward to the next recipients. In other words, if you set Role 1 to “Needs to View,” DocuSign treats that as a non-blocking step, and it will automatically notify subsequent recipients when the envelope is sent—even if Role 1 has not actually opened or viewed the document yet.

To ensure the envelope does not move on to Role 2 until Role 1 is finished, you can assign a tag like the approve bottom and change the role to Needs to Sign (even if they are not signing).

​@JohnSantos Thanks for providing this context! I went ahead and changed the role type to Needs to Sign along with an Approve button and it worked they way I wanted!
