Question

How to avoid auto poulating fields when using multiple copies of a template in an enveloppe ?

Forum|alt.badge.img+2

Hello community,

I use templates in order to build quality construction files. Inside I include several documents which are also templates. One of these templates is a quality plan. I have to add as many quality plans as the number of different parts that are machined. That means that I need that each template to be independant from the others. I don’t want that the fields are autopopulated even if they have the same data label (which I cannot avoid as it’s the same template that is included several times in the enveloppe)

Is there a way to do so ?

@FredG1976

In the Docusign Admin under “Sending Settings” you have the option to configure the following. If checked like below it will not auto populate values across different documents within the same envelope. This should allow you to add multiple documents with the same template without replicating the data across them:

Hello,

This won’t help. The idea is that the fields autopopulate on some templates I add in the enveloppe but not on this specific template. ie:

  • I add a template “delivery slip” with the list of shipped Items
  • I add a template “certificate” with fields that are autopopulated by the field filled in the delivery slip
  • I add multiple templates “quality plans” that I want to fill manually and each of these templates need to be independant (not autopopulated).

Also I don’t have the admin rights

Hello @FredG1976,

I trust all is well. Thank you for reaching out, and welcome to the Docusign Community! We appreciate your question and assure you that we are fully committed to providing you with the best service possible.

I understand you would like fields to auto-populate on some templates you add to the envelope.

The automatic replication of fields can be configured based on the “Data Population Scope” setting, which determines how data entered into fields is propagated across documents within an envelope. This setting can be set to “Envelope” or “Document,” each option has distinct implications for how fields replicate.

When the Data Population Scope is set to Envelope, any field with the same label across multiple documents within that envelope will automatically populate with the same data when a recipient enters or modifies information in one of those fields.

Conversely, when the Data Population Scope is set to Document, only fields with the same label within a single document will replicate data.

Based on your scenario, you will apply three templates to one envelope and would like to use data replication on templates 1 and 2. Then, template 3 needs to be filled out manually without auto-population. Currently, we do not have a way to control per template.

Your administrator can select automatic replication on individual documents; however, the documents you want to auto-populate must be in a single file/document (All files from Template 1 and 2 should be combined into 1 PDF before uploading to a Template/envelope)
