Why Docusign invalidates an already signed document on upload ?

Hi,

I have a document that is already signed in adobe (non-Docusigned), and need to upload it in Docusign and just add new signatures.

But when I upload the file, the initial external signature gets invalidated. Why ?

I mention no other changes are made to the document, solely add a new signature through Docusign.

Can you please describe the situation in more detail (step by step)? For instance, is it invalidated in the PDF? Is it before or after completing the signature in DocuSign? Do you have the exact error or screenshots of the issue that you can provide? (Please conceal any Personally Identifiable Information as this is a public forum)

Hello Melanie, I'm having the same problem 

And its urgent, when we download the document signed it is anulating the others QES signatures

Thank you for reaching out, and welcome to the Docusign Community! I am sorry to hear about the issue you are having. To better understand the problem, could you please send us a screenshot of the issue? Also, could you confirm if the PDF files were downloaded separately? Articles: Download Documents;Download and print a document that you received | eSignature.

Lastly, please try to manually remove the DocuSign seal directly from the PDF.  The Platform Seal is not needed for envelopes using Standards-Based Signatures, as the digital signature is a seal on its own. Here's how:

  • Open the document downloaded from the eSignature account in a PDF reader (i.e., Adobe Reader or Foxit Reader).
  • Click on the Signature Panel(Adobe)/Manage Digital Signatures(Foxit)

  • Expand the QES/AES signature, and click on "click to view this version"; the file will open in a new tab.

  •  In the new file, go to Menu/File(on the top left)->and click Save as.
  • Validate again.

Thank you for your reply.

 

Step 1 Signed in adobe -signature valid.

Step 2. Upload doc on Docusign platform

step3 : Mark the place for the signature

step 4 : Send envelope

Step 5 : Signed the envelope

Step 6 Download the document.

 

As you see in attached there are several actions marked as changes, but never did any of those. 

I just marked the place for signature and press send and after that , I signed in Docusign and downloaded the doc.

Thank you for providing the information I requested. I'm sorry for not getting back to you sooner; I had to consult our internal support. I’ll explain to you our findings.

What you did is what is known as "cross-platform signing." This means taking a document signed with a digital signature (Adobe signature, Rev1 in the screenshot), uploading it to DocuSign, adding more information, and signing it with a second signature. The thing to understand here is that a digital signature will show modifications made to the document after the signature step. When you upload something in Docusign, modifications are made :

  • The envelope ID is stamped on the document depending on the settings  > This is why there are "form fields added" field envelope ID messages.
  • Same thing for the annotations; it added something on each page
  • The stamp is the signature field

Those modifications invalidated the first signature because they are considered modifications of the document since it was signed.

To avoid this there are two possibilities.
1- do it all in one platform, either Docusign or Adobe
2- follow the recommendations  below:

  • Account must be SBS enabled
  • The document should be uploaded as it is (no flattening)
  • Only Signing and Initial fields can be used
  • EnvelopeID stamp should be removed - Sending Settings > Look for: Enable including the Envelope ID on the document > The option “Include Envelope ID by default” should not be ticked:

     

  • This is only available in PRODUCTION

in your example, you had the envelope ID applied to the document, so that's why it failed.

If you remove the envelope ID ( instructions in this guide: Send a Document Without the Envelope ID on It), it should be working.

You may include the link of this Topic as reference in your case. To open a support case in the Docusign Support Center, go to the "Get Support" section and select "Open a Support Case". Log in using your Docusign credentials and select a case subject. If you have multiple Docusign accounts, choose the appropriate account to continue. Open a case in the Docusign Support Center.
