Hello,

we would like to use DocuSign for power of attorneys for our annual general meeting. Every year we have about 250 power of attorney documents filled out. Our ideal process should be like:

  • Companys cancel their participation at your annual meeting in a booking form in our extranet (this is obligatory)
  • Then, a document should be opened (API conncetion DocuSign to our extranet would be provided) where the authoriser has to fill in his company name, a certain number and the company who will be his authorised representative. He finally signs the document.
  • this document should then be sent to this authorised representative who signes it as well
  • finally the document should come back to us to be included in certain booking information connected to the registration at our annual meeting

Or is it possible to map this whole process in online forms with only a completely filled out document as a result of the input in the forms at the end?

Authoriser as well as authorised representatives are unknown to us. The trigger is the cancelling of the participation in the booking form. In this form, the participant is logged in with a personal account. The authorised recipients have personal accounts in this tool as well.

We don´t use MS 365 or Sharepoint if this plays a role.

How can we set up this process automatically without a DocuSign Admin having to edit every power of attorney?

Many thanks in advance!

Katrin

Hello, @Katrin

Welcome to the DocuSign Community!

Well, you have described your use’s case in details.

On such scenario, we could take different directions.

For example, a developer who knows how to use RESP API could create such integration from your intranet and DocuSign, creating in an interactive way the envelope’s creation and get the necessary info to fill up in another system integrated via API.

In general, an API code can use templates, powerforms, and web forms already created in the eSignature platform, he needs to connect the pieces accordingly your needs.

Another approach could be the use of Web Forms or PowerForms. On this case, the initiator is unknow so you provide a link to access the Web Form or Powerform, you can publish this link in your website or sent via email. All the process will be initiated by your client(initiator), all others who need to fill up or sign the document will be notified to take action accordingly a set signing order.

There are some native integrations with SharePoint Online, Google Drive, Onedrive, CLM, and others.

Here three short videos showing how a Web Form and PowerForms work.

I hope that helps to shed some light to your use’s case.

Best,

Alexandre
