I know I can add/delete documents from the template, but I want to incorporate the 2023 template (with all its DocuSign form fields already assigned to the new hire) into the template. The only way I've found to "upload a template" is after selecting USE and then I don't believe I can save that envelope as a template. I'll try again, but wanted to put the question out to you all. Thanks!

Thank you for reaching out here in the DocuSign Community.  

I appreciate you sharing your concern. You are able to save and unify multiple templates by starting an envelope and adding all the concerned templates to it, once all templates have been successfully added you will need to exit the envelope creation workflow and access the Draft envelope created based on it.

You can find your Draft in Manage>Drafts, once there you will get the option to save the envelope as a template as part of the envelope's actions dropdown menu.

Unfortunately, I have to re-create all the recipients for the envelope and all the recipient messages if I create a new envelope...correct? That's why I was hoping there was a way to edit the existing template and swap out the form/template with the newest version.

Thank you for reaching back.

It is not needed for you to recreate the recipients if you create a new envelope, as long as you are including the necessary templates as part of it.

However, if what you are looking to do is just change the document in your template for a newer version of it, you can do this with the "Replace" option offered as part of the document actions in your template.

In order to change the document on the template itself, you will need to edit the template and then click the three dots menu at the bottom right corner of the document and pick "Replace"

If instead, you are looking to replace the document for just one envelope in specific, you will need to "Use" the template instead of edit it.

Ok, somewhat helpful...

I have a form (kept on word in our documentum repository) that is revised 2-4 times a year. Its 45 pages long.

My question is:

  • If i create a template with this form, then in 4-5 months our word processors revise the form, can I add only the parts that were changed without having to start over from scratch? Also, can I edit the Form Revision # from 50 to 51 on the template?

Thank you for sharing your experience.

With the "Replace" document action you can change the original document and swap it with the revised version.

And, as long as the new document doesn't have fewer pages than the old one your fields will be kept the same.

The same applies to the Form Revision #, if you update that string of text, it shouldn't affect your field's location or configuration.
