Does DocuSign allow to send conditional set of documents through an envelope based on certain field values? For example, if an University has 3 campuses, then Student who belong to Campus 1 needs to sign Document 1, Document 2, and Document 3 where as Student who belong to Campus 2 needs to sign Document 3, Document 4, and Document 5. Once student has signed, then same set of documents needs to be signed by admissions rep and parent.

I understand the concept of conditional routing and document visibility but my question is a little different in terms of dynamically showing the right group of documents from a whole set of documents based on the value of a field such as Campus. I’m not taking about re-routing to different recipients based on the field value rather inquiring if Document 1 can be displayed for signing to student when campus is C1 and Document 2 can be displayed for signing to student when campus is C2? The document needs to change based on the condition not the recipient. Thanks in advance!

Oh my bad, As per my understanding this use case might not be in feature limit to set the routing based on the field conditioning. But yeah if find the solution then do share with the wider audience. 🤗

The quick answer to your question is no, DocuSign natively does not support conditional documents within all envelopes. However, there are ways to achieve what you need with some workarounds.

What you're looking for is a system where the documents included in the DocuSign envelope change based on the student's campus. For example, students from Campus 1 need to sign Documents 1, 2, and 3, while students from Campus 2 need to sign Documents 3, 4, and 5. After the students sign, the same set of documents should be signed by the admissions rep and parent.

Here's how you can achieve this:

  1. Using Document Visibility:

    • While DocuSign does offer some flexibility with document visibility, maintaining this setup can be complex and not easily scalable.
  2. Pre-DocuSign Signed Form Approach:

    • Create a pre-DocuSign process where a form determines which documents are needed.
    • Use a form builder like JotForm to create a form with questions that identify the student's campus.
    • Based on their answers, redirect the user to the correct set of documents (PowerForm). For instance, one PowerForm for Campus 1 (Documents 1, 2, 3) and another for Campus 2 (Documents 3, 4, 5).
  3. Handling Multiple Permutations:

    • If you only have a couple of document sets, the form builder approach will work well. However, if you have many permutations, it might be better to use an API integration.
    • An API integration allows for greater flexibility and can dynamically assemble the DocuSign envelope with the correct documents based on the form responses.

So, while DocuSign itself doesn't directly support conditional documents based on field values, you can achieve the desired functionality with a bit of creativity using forms and potentially API integrations. This way, you can ensure that the right documents are signed by the right people based on their campus affiliation.
