Question

Can a recipient assign an envelope to someone else to finish the remaining fields, maintain the values already entered?

I have a customer that has asked me to build a template with 1 recipient. That recipient may or may not be able to answer all the questions in the form. If they can fill out all the fields, then the envelope would be complete. If they cannot answer all the questions, they would like the ability to forward or assign the remaining fields to another recipient. The next recipient should receive the partially completed envelope. The Assign to Someone Else option erases all previous responses. Are there any options in DocuSign that can accomplish the ask?

Hello @ashley.clementOH.

Thank you for reaching out, and a warm welcome to the Docusign Community! We are absolutely delighted to have you here and can't wait to share our knowledge with you.

I understand you are building a template with 1 recipient who may or may not be able to answer all the questions in the form. You would like to know if there's a way a recipient can forward or assign the remaining fields they cannot answer to another recipient as the assign to someone else functionality erases previous responses. I'm very sorry for the inconvenience this has caused you and rest assured, I'll make every effort to help you.

That's true. When the recipient selects the Assign to Someone else, all the fields assigned to them become assigned to the new signer. Any fields they completed before changing the signing responsibility are reset. More information here. Change Signing Responsibility

Based on your scenario, the best option I can recommend is the Forward option. Forwarding creates a copy of a completed envelope, which can be sent to new recipients as is, or new documents and fields can be added as needed. You cannot remove any information or signatures on the completed documents for a forwarded envelope, but you can add new recipients, documents, and recipient fields.

How do I add a signature to a completed document?

Note:

  • Each time you forward an envelope, it will be considered as a new envelope sent, and it will be counted towards your envelope sent.

I am not sure this would work for my use case. The first recipient is not a DocuSign user on our account. Would they be able to forward it?

I also looked into collaborative fields, which looks promising, but some of the fields would be used in a formula, which is not allowed.

Hello @ashley.clementOH,

That's a great question. The current forwarding process, while a good option, has its limitations. For instance, the recipient may be unable to do so because the sender owns the envelope. Unfortunately, we haven't built anything to solve this use case.  Another option I can think of is Signing Groups. However, this requires that the Sender know who all of the collaborators should be ahead of time. Also, Signing Groups are meant to handle workflows where the same group of people collaborate each time (so one-offs to different collections of recipients each time doesn't scale well).

However, we always welcome feedback that can enhance our users’ experience. I encourage you to consider submitting your suggestion for consideration by our development team for potential implementation. If you are a DocuSign Administrator for a corporate plan, you can submit your request through a support case or by reaching out to your Account Team.
