Bulks sending view only documents

Hi I am trying to send documents to multiple people via bulk upload, I have dont thi smany times; however, this time I need to send the documents , which include merged data fields, as. a view only document with no acknowledgment needed. When I try to change the role of the recipient it notifies me that the merged fields will be removed, which they are.  How do I bypass this and bulk send read only documents?

  • Could you provide more details of the issue? Are you referring to the merge field mentioned in these articles: “Use Merge Fields in the Template Email Subject to Customize Envelopes and To create a template with merge fields for bulk send,” or are you talking about the assigned field which gets removed when changing the role from ‘needs to sign’ to ‘needs to view’?
  • Please describe, step-by-step, what you were doing when the issue appeared.
  • Are you doing this through the standard DocuSign website (www.docusign.com) or using an integration such as Rooms, Salesforce, CLM, Microsoft, etc.?
  • How many recipients are in your template, and what roles do they have (Needs to view/Needs to sign)?
  • Do you have any error messages or screenshots related to the issue that you could share?

Hi Melanie 

I am referring to the assigned field which gets removed when changing the role from ‘needs to sign’ to ‘needs to view’?

 

 We are sending docs that do not need acknowledgement or signature, only as an FYI.  They only  need to view it . When I do the bulk upload it still states that the recipient needs to sign, when they do not need to. The document has merged fields , so its not a standard identical document across the board. They are personalized.  How can you bypass the assigned role being removed when we select “View Only “

Thank you for the explanation. Currently, it is not feasible to bypass this because the fields were specifically assigned for the recipient role responsible for signing them. If the role is changed to “Needs to View,” those assigned fields will be automatically removed. Since your goal is for recipients to merely acknowledge by viewing the envelopes, you can use the Template, change the recipient’s role from “Needs to Sign” to “Needs to View” (which will result in the automatic deletion of assigned fields), and then click on Bulk Send. If you are using an old CSV file, you will need to download a new one, input the recipient details into it, and then upload and send it. I highly suggest conducting some tests beforehand. Please be assured that your original template with “Needs to Sign” recipient roles and their associated fields remains saved in your Templates for future use.
