Why can't I bulk update Persona on Users?

I’m following the instructions to Bulk Update, and I cannot get it to work.  I’m including the 3 required fields, plus Persona.

My headers are:

AccountID    APIUserName    UserEmail    Persona
 

And every time I run the update, I get:

 

I’ve also tried UserPersona, User_Persona, and persona, and they all return invalid column header.  So now I’m wondering if there is something I need to do to the field to make it bulk updatable.  Any suggestions are greatly appreciated!

Hi ​@joliver !

The only way to update persona in bulk is directly on CLM Admin > Users > Bulk Update. When you access this option, you’ll be able to download a Sample CSV file. This is a simple example of how to update a user persona:

 

 

You just need to provide the user Email and the Persona (group) name.

Hi ​@Vinicius.Rodrigues, the first time I tried it, it failed with a ‘Bulk user update failed to process’ message because I had the ‘persona’ header lower case.  When I updated it to ‘Persona’, it ran, but no updates were made.  I got an email with a message of ‘Details: No changes were made’.  So at the very least, it looks like the header is working.  But now it’s not accepting the Persona name.  And I typed in the exact Group name with the correct letter case and no trailing spaces at the beginning or end.  Do you have any other suggestions?  Thanks!

Just to provide additional info, our group name contains spaces:  DDE Sales Rep

I tried it both with and without brackets around it [DDE Sales Rep] and neither accepted.  And there aren’t any unusual characters in my email address. 

Additional Notes:  I also tried including all of AccountID, APIUserName, UserEmail and Persona in the bulk update feature, and I still end up getting No Changes Were Made.

The first thing I would recommend you check is what message came right after the email informing you "Bulk User Update is Complete". This message may help us troubleshoot!

 

My other tip for you is that when the group/persona name has spaces, use double quotes, like in my example below:

Email,Persona,ManagedBy,DelegatedPermission,MailingLists
test@test.com,"Business Reviewers",,,

 

Finally, if you are using Excel in Latin America or Europe, .CSV files are usually saved with semicolons instead of just commas. CLM only accepts commas, which can also be a problem. If this is the scenario, simply open the .CSV file with Notepad and replace " ; " with " , ".

Thanks ​@Vinicius.Rodrigues.  Unfortunately, the Bulk User Update message doesn’t give any additional details.  Here’s the email:

 

I tried your tip to put double quotes around the persona name, with no luck.  I also confirmed that my file is comma delimited and not semi-colon delimited.

 

I also tried creating a new group with a name of just ‘Test’ (no spaces) and that didn’t work for the Bulk Update feature. So it doesn’t appear to be an issue with the spaces in the Group name. And I tried adding myself to the user under the ‘Managed By’ setting and that didn’t help the Bulk Update work either.

 

Can you confirm that you are able to Bulk Update a persona to a user?  I wonder if I need to submit a defect for this, maybe the bulk update tool is broken?  I have to update a few hundred users and I’m hoping to not have to do them all manually (plus, I’ve taken it this far and I would love to see it work)

Yes, I can confirm that my bulk user is working correctly (see my test below). My last suggestion was to check if your permissions in CLM Admin and DS Admin are not limited to viewing users only.

I'm sorry I couldn't help you here. I really think the best option is to contact the support team, you can choose the callback option to be faster.
