In a recent Community event, Lindsay from the Docusign Community team welcomed participants to a special session featuring upcoming content from Docusign University. The webinar spotlighted the latest features and capabilities in Docusign Navigator, followed by a live Q&A and an “Ask the Expert” segment with onboarding consultant Phillip McDaniels.

Below, you’ll find key learnings from the event and the full recording of the Q&A to watch on-demand.

Key Takeaways:

  • Manual permission management
Permissions and sites in Docusign Navigator are currently updated manually by the account administrator. While automatic provisioning is on the roadmap, admins should be familiar with setting and managing permissions directly.
  • Exporting Navigator AI metadata
Exporting metadata identified by Navigator AI to external systems may be possible, depending on use case and system integrations. The product team is exploring this functionality further.
  • Multilingual support (with one exception)
Navigator AI can recognize and work with documents in multiple languages—except Japanese, which is not currently supported. The team is actively working on expanding language coverage.
  • Reading scanned documents
Scanned documents can be uploaded to Navigator, and the built-in Optical Character Recognition (OCR) can process them. However, the quality of the scan may impact how well the AI reads and interprets the content.
  • Getting started with confidence
Navigator’s interface is intuitive, but users coming from previous envelope management tools may need a short adjustment period. Exploring the layout and features hands-on is the best way to get comfortable quickly.

During the webinar portion of the event we got some great questions about Navigator permissions. I wanted to post my responses below for future reference.

By default, all users (including DS Admins) will only see their agreements in Navigator. This includes completed agreements they sent/received via Docusign eSignature or any documents they've uploaded into Navigator manually.

If necessary, a DS Admin can grant a user or user group access to "View All Agreements in this Account". This grants the user the ability to view all agreements in Navigator.

Agreements can also be shared directly with other users or groups via the Navigator completed documents table. Simply click the ellipsis icon for the agreement > Share.

The final way to share agreements is through Agreement Sets. Agreement Sets are sort of like "Groupings" of agreements. For example, I could create an Agreement Set for "Offer Letters" and then add the Offer Letter documents to the Offer Letters Agreement Set. Then I can share that set with other users or groups on my account. To learn more about Navigator Permissions and Sharing, view this article.

There was also one question that required follow up during the Ask the Expert event. See below for question and answer.

Question: Can I download a list of the documents and the associated attributes from Navigator?

Answer: Yes. Go to Agreements > Completed folder > Documents drop down >  Apply any filters necessary to narrow down your list > Customize the columns on the completed documents table to show whatever attributes you want to include in your export > Select the checkbox to select all agreements > Export to CSV.
