Question

Envelope Information Sync to Object

Forum|alt.badge.img

We are looking to transition from DocuSign eSignature for Salesforce (7.12.1) to Docusign Apps Launcher 6.12 and I’m trying to get it setup in a lower environment for testing. One of the features we used in the eSignature app was syncing the envelope status and date sent over to the related fields in Contracts. When trying to setup DAL, I don’t see this being able to be configured, where it will update the field of the Date Sent. Am I missing something somewhere?

Hello @justinporter

Thank you for reaching out here in Docusign Community.

To sync Docusign envelope status and date sent to related fields in Salesforce Contracts using Docusign Apps Launcher 6.12, you'll need to configure writeback settings and potentially use custom fields on the Contract object to store this information.

Here's a breakdown of the process:

1. Configure Writeback Settings:

  • Connect Docusign Account:

Ensure your Docusign account is connected to Salesforce via Docusign Apps Launcher.

  • File Destination and Mapping Templates:

Configure where generated documents and metadata will be stored and how they map to Salesforce fields.

  • Permissions:

Assign necessary permissions to users to access and modify related fields.

  • Add Component on Record Page:

Add the Docusign component to the Salesforce Contract record page to display envelope status and related information.

  • Configure Writeback:

Within the Docusign Apps Launcher settings, configure the writeback settings to map Docusign envelope status and date sent to the corresponding fields on the Contract object.

4. Troubleshooting:

Multi-Factor Authentication:

Ensure that Multi-Factor Authentication (MFA) for API Logins is not enabled on the user's profile in Salesforce, as this can interfere with Docusign's server-to-server API updates.

JP1 Site:

If your Docusign account is on the JP1 site, you may need to use a workaround to ensure merge fields, Docusign statuses, and documents are written back to Salesforce.

3. Automate the Process:

Workflow or Flow:

Use Salesforce Workflows or Flows to automatically update the Contract object fields with the envelope status and date sent when the envelope status changes in Docusign.

Custom Button:

You can also create a custom button on the Contract record page to manually sync the envelope status and date sent.

2. Create or Use Salesforce Fields:

Status Field: Create a custom field on the Contract object to store the Docusign envelope status (e.g., Draft, Sent, Delivered, Completed, Voided). Date Sent Field: Create a custom date field to store the date the envelope was sent.
