reject document whitout loosing the content filled by the previous recipient

Hi everyone,

I am using templates with fields that the first recipient needs to fill. These fields are for instance purchase order numbers, part numbers,...It is a kind of certificate of compliance for our customers. There is a lot of informations in that document and sometimes mistakes happen.

The first recipient fills the document. The next recipient  reads it and is supposed to sign if it’s correct.

If the second recipient detects a mistake, he voids the document. That’s how the process seems to be in docusign. The issue is that if the document is voided then everything that has been filled by the first recipient is lost. I am looking for a solution that allows the first recipient to get back his document as he filled it and to correct it.

 

Any idea?

After the envelope was voided you can create a “Copy with Field Data”, which will create a new envelope and keep the values that have been entered before by the first recipient, so he does not have to enter them again. He may then correct the error and sign the document, so it gets to the second recipient for signature.

 

The other option would be to set up collaborative fields, so the second signer is able to correct them. This Docusign Support article explains the feature and how to configure it.

Thanks, but we don’t have this option of “copy with field data”.

I am going to look at the collaborative field but I am not going to ask our CEO to correct the data himself...

Greetings,

A creative solution here might be to try Conditional Recipients.  Here’s how it could work:

Build the template with 2 recipients: Signer A and your CEO. Then add a routing group, and just fill in Signer A’s information again (effectively making them the first and third recipient).

Then, add a dropdown field for your CEO, with a Yes/No question.  Basically ask them “Was everything correct about this document?” When you build your conditional recipient rules, you could specify that the envelope should be routed back to Signer A on the condition that the CEO selects No.  You could even add a conditional field that appears on the selection of No, allowing the CEO to write in a reason for selecting No, if you wanted.  

This way, if the CEO selects Yes, the “third recipient” is discarded and envelope comes to completion.  If they select No, the envelope goes back to Signer A for corrections and then is completed.  Would this work?

Only hiccup I could foresee is that the “third recipient” (remember, it’s the same actual person as the first recipient) is considered a separate recipient on the envelope, and therefore could be assigned their own additional fields. You would address this issue by making each field collaborative between only the 1st and third signer, so when the envelope was routed back to the first signer, they can edit previously entered information. Not every field type can be made properly collaborative, but you may find a way to make it work for you.
