Delivery Failure on Envelopes that have a siging group where one member is no longer active.

Just curious as to what other users are seeing.  We are experiencing delivery failures on envelopes that are sent to a signing group that may contain an inactive user.  The message is valid due to the inactive user, but none of the other recipients receive the notifications and we are unable to perform a correction on the envelope.  We have removed the signing group inactive recipient but we are unable to perform a correction and a resend still uses the old membership on the signing group.

I check the Signing group FAQ not find this limitation:

Why would I want to use Signing Groups?

  • Envelopes can be sent to several individuals who are eligible to sign or approve.
  • Only one signer from the group is needed to sign and complete the envelope.
  • Helps prevent a bottleneck or blockage in your workflow.
  • You want an envelope to be put on hold for certain time before it’s sent to the next recipient.
  • You want envelopes to be routed to certain recipients based on the user input.
  • After all signers sign the document, you want the document to be forwarded to a certain department.
  • You want to send the same set of documents to multiple recipients, but I don’t want certain documents to be visible to certain recipients.

 

Example: All contracts need to be reviewed and approved by the Legal department before they can be routed for signatures. Several people on the Legal team share this responsibility.

 

Problem: Assigning one specific individual as the signer or approver could create a large workload for that person. If they are on vacation or sick, the entire envelope is delayed.

 

Solution: The goal is to distribute the workload and not have one person hold up the completion of the documents. We need a way to send the envelope to multiple people who can fulfill the requirements of the recipient and allow any one of them to sign or approve.

What is the maximum number of Signing Groups I can create?

The defaulted maximum number is 50 Signing Groups. If you'd like that limit raised, visit our Contact Support Page and create a case. Fifty is also the maximum number of Users you may add to a single Signing Group. This limit cannot be raised.

If one signing group member starts signing, and then selects “Finish Later,” will their progress still be there if another member goes in to sign?

Yes, Members of the signing group will be able to see if someone reviewed the envelope, if they did not sign, or where they left off signing.

What happens if I make changes to the Signing Group after sending an envelope to the group?

Signing groups can be modified when the envelope status is Sent. They cannot be changed after an envelope has been completed.

The changes made to the envelope will not impact the template used to create the envelope.

Can other accounts route envelopes to my Signing Group?

No. Only envelopes sent from the account that owns the signing group will route to the group and its members.

What is displayed in the Certificate Of Completion?

The Signing Groups member that viewed and signed an envelope is tracked in the envelope summary, envelope history, and Certificate of Completion. See Signing Groups Overview.

Do signing sessions look different for Signing Group and individuals that sign the envelope?

No. The Signing session appears the same, as if it was sent to the individual signer.

Can I use Signing Groups within the Docusign mobile app?

No. Currently, you must be signed in at www.docusign.com to use the Signing Groups feature. Learn more about Signing Group limitations.

Limitations for Signing Groups

When using signing groups, you should be aware of the following limitations and restrictions:

  • In person signing. You can use a signing group as the host for an in person signer only if all group members have an active Docusign account. You cannot use a signing group for the in person signer.
  • Managing groups. Only Docusign administrators can add, edit, or delete signing groups. Learn more...
  • New group members. If a new member is added to a signing group, any in process envelopes to that group must be resent for the new member to gain access.
  • Recipient authentication. Phone authentication (by either phone call or SMS) is not supported for signing groups.
  • Email address changes. If a group member of any signing group changes his email address, your account administrator must update the group to use the new address. Otherwise, any email notifications sent to the signing group will continue to go to the old email address. If the group member is a Docusign account holder, the envelopes will not appear in his Docusign account unless the group membership is updated to use the new email address.
