Tips from Docusign

Need your envelopes to look like they are coming from a generic user? If so, check out custody transfer rules. With custody transfer rules, you can automatically transfer an envelope from a user to another user on your account. Custody transfer rules are set up by a DS Admin under Admin > Custody Transfer. When setting up a rule, you can select the “From”. This allows you to control which user or groups the rule will apply to. When these users or groups send envelopes, they will be transferred as a part of the rule. Note: This rule will apply to any and all  envelopes the user(s) or group sends. Next, you can choose the “To”. This is who the envelopes will be transferred to. Here is where you could select a generic user. For example, maybe you create a user profile named “Company ABC Sales Department” or “Company ABC HR Department” For the email address of this user profile you could use a generic department email address or distro. You’ll then choose the folder where you want the e

Did you know that there is a way to classify, record, and track information about envelopes sent for signature. You can use Envelope Custom Fields to do just that. These fields allow senders to enter specific values when preparing an envelope, which can be either free-text entries or selected from a predefined list that you create. Docusign eSignature provides you with this level of detail.Benefits of using Envelope Custom Fields:You can control visibility - Custom fields are not visible to recipients during the signing process but can be accessed in the Certificate of Completion by those with the appropriate permissions. Have you utilized smart filters for agreement sets yet? They will save you a TON of time. Smart filters can be applied based on document attributes and will automatically add any matching agreements to the agreement set!To add a smart filter to a new or existing agreement set follow the below instructions:Open Agreement Manager - (formerly Navigator) by clicking on the Completed folder of your Agreements tab Click on the ellipsis (...) icon in the top right corner > Manage Sets If you do not see this option, you likely do not have permissions to create and manage agreement sets. Did you know you can limit who can see certain documents within an envelope? This can be done using document visibility! With document visibility you can create a single envelope with multiple recipients and restrict who can see certain documents. Visibility is based on where eSignature fields are placed. If a field for a recipient exists on a document, they’ll be able to see that document within the envelope. At a note, the sender will always be able to see all documents included in an envelope. eSignature Admins will set up document visibility under their Admin > Sending Settings. With supplemental documents you can send additional documents that do not require signature, but instead, enforce a recipient’s behavior. The account profile is where a lot of the main information for your account is stored. For example the account name, account address, admin custom message and custom help contact information. As a Docusign eSignature Administrator, you can access your account profile by going to the Admin tab > Account Profile. Let’s review each of these components:Account Name - This appears in notification emails to recipients and in your account drop-down menu. This is typically the name of your company or organization. To edit this, click “Edit” Account Address - This is used as your account's billing address and in the certificate of completion for your sent envelopes. This is typically the address for your company or organization’s headquarters. Admin Custom Message - With this, you can display a notice banner to all account users. You can also add an optional custom message that appears when the notice banner is clicked. This is helpful for important announcements you’d like to communicate to

There are times when you, as the sender, might not know the final signer of a document, or you might want someone else to manage and modify recipient information as needed. Want to ensure that the right person is accessing your envelopes to sign? Try using access codes when sending! Access codes are similar to a “password” that you can create. Recipients need to enter that access code in order to access the envelope and sign. Let’s walk through some fast facts:Access codes are free to utilize! There is no fee charged per use. Access codes are applied in the recipient area of an envelope under the “Customize” drop down menu. Access codes can include numbers, letters, and special characters. They are not case sensitive! DS Admins can set rules related to access codes within the Admin > Security Settings area.  For example: Rules must contain X number of characters, special characters, uppercase letters, etc. Once an access code is applied for a recipient, it is the responsibility of the sender to distribute the code.
