Hello,

we are using a template to send a vendor creation form. when the vendor returns the completed form, the requestor should review the form. So we created 2 roles, vendor and requester.

=> is there a way to populate the requester role with the signed in user who is going to send this template to the vendor?

@gtarayre - Not clear if this is your question.  The email and name of the requestor can be part of the template if it’s always the same and you want the sender to have this information.  

 

 


Sorry if I was not clear: we cannot hard code the requester information because many people in the company may reach out to a vendor to collect its information.

So I am trying to avoid for anyone who needs to send this form to type her/his info in the requester role when it could come from the user profile. another way to phrase it is that we could imagine a default role named “person who submits the form/ aka logged in user”


@gtarayre - Can you elaborate on the process?   From what I understand, the sender uses the template to request information from the vendor.   Once the vendor completes the request, you want the envelope to go back to the requestor for review?   What happens if changes are needed?  By the fault, the envelope is sent to the sender even if they are not listed as one of the recipients.

When the vendor is done with his part, yes the requester needs to review and fill additional internal information. Also we want the requester to call the vendor to confirm the payment details so he/she needs to acknowledge that it was done . once the requester has done his part and signed, it will go to several additional approvals but we can use  Advanced Recipient Routing for that...

What determines which requester needs to review and add additional internal information after the vendor has done their part?   Do you have a pool of requesters?


Requesters are anyone in the company that may have to purchase something from a vendor that has never been used yet. we don’t want to maintain a list of templates with a hardcoded requester role for each of the users if that’s the question.

Anyone who sends the form to a vendor will be the person that will fill additional information once the form is completed by the vendor.


@gtarayre - If you change the name of the role to “Sender”, it will populate the sender name and email in the recipient field.
