Tips from Docusign

If you need to stop certain subsets of CLM users from having the ability to send a document for signature, you want to be sure that you not only train them that it’s not part of their responsibility, but withhold that capability from the software entirely so it’s not even possible for them to do so. What This Feature Does (and Why It Matters)Navigation & Actions is a powerful feature in CLM for Administrators to hide certain menus and functions within CLM. Limit access by configuring certain subsets of users in certain assigned personas from sending. Reduce voided envelopes by ensuring documents aren’t sent in error Example Use CaseWe want users on our Sales team to be able to view documents and send them out for external review to their customers, but it’s not part of their role to then send those documents for signature.  That responsibility is for someone else on another team, so we want to hide the capability from everyone assigned in CLM to the Sales persona. How to Configur

There is a good chance you are already using Docusign eSignature Envelope Templates to streamline the creation and sending of envelopes. If so, have you ever wished you could streamline the sending process by sending two envelope templates at once? Well, actually you can! Combining templates is a useful action when you want to send all documents tied to those templates to all roles/recipients for those templates at one time. This process has several benefits:It allows you to save on the number of envelopes needed to send the envelope templates separately  It provides additional use case coverage across many parts of your organization It streamlines the signing process for your recipientsExample Use CaseLet’s say you work for a credit union and have created two templates - a Change of Address template and a Residential loan application template.Sometimes you send them together and other times you send them separately. To send together, you can combine the templates to streamline the pro

If your team spends too much time recreating the same fields across multiple document generation forms, you are not alone. A frequent challenge in CLM workflows is the manual effort required to maintain consistency when building or updating forms. Here is how to make that process faster and more consistent. What This Feature Does (and Why It Matters)The Forms Library in Docusign CLM lets admins create a centralized repository of standardized fields. This helps teams: Save time by pulling pre-configured fields into new forms instead of building them from scratch. Reduce errors by ensuring data points are labeled and formatted identically across the organization Improve consistency through a single point of control for field updates.  Example Use CaseA legal operations team needs to include a "Governing Law" dropdown menu on five different contract generation forms. Instead of building that dropdown five times, they create it once in the library and reference it across all five forms

Have you ever wanted to collect information from multiple recipients using a single Web Form?  How about sending a Web Form directly to a recipient, rather than making it simply available via a public link.  Both are possible, and can greatly improve your experience with recipients! When you create Web Forms in Docusign eSignature, you are creating an experience for your signers and recipients that makes filling out complex agreements easy and straightforward.  By default, a Web Form is only fillable by one of your recipients, and is accessible only by a publicly available URL. But you can create a segmented, multi-recipient Web Form experience sent directly to their inbox, just like an envelope notification. This has several benefits:It will make filling out complex agreements easy and straightforward for multiple parties in your workflow It reduces the risk of a link being accessed by someone whom you did not intend to fill out a particular Web Form Your recipient will receive the Web

Need to limit which documents each recipient can view, without sending multiple envelopes? Document Visibility in Docusign eSignature lets you show or hide specific documents per recipient within a single envelope, protecting sensitive information and simplifying your workflow.By configuring visibility once, you can keep a single audit trail, reduce errors and costs, and ensure every recipient only sees what they need.Show or hide documents per recipient to protect sensitive content Keep one envelope and audit trail for cleaner compliance Apply account-wide rules or let senders set visibility per envelope Prevent confusion for CCs and non-signers by limiting what they can view Save time by avoiding duplicate envelopes and manual redactionExample Use CaseA sales envelope includes a proposal, an NDA, and a pricing appendix. The customer sees the proposal and NDA only. Internal Finance sees the pricing appendix; Legal sees all three. You maintain confidentiality while tracking everything

If you are looking for a way to dynamically add new values to a CLM Document Generation Form dropdown list for your users to select from, look no further !  Docusign’s Dynamic Attribute Dropdowns feature could be your answer.Dynamic Attribute Dropdowns are dropdown attribute fields which contain dynamically generated valid values from a specified object (users, documents, and folders) instead of a static list of values.Example Use CaseA ‘Parties’ folder contains a number of subfolders by Party names with which my company does business. As time goes by, the number of Parties will grow (added automatically through a Workflow step or manually). A Dynamic Attribute Dropdown field references the path to that Parties parent folder and in turn, a Document Generation Form references the Dynamic Attribute Dropdown field. Any new Party entered on the form will be automatically added to the dropdown list so that the next user generating a  contract for that same Party will not need to manually ty

Need recipients to sign in a specific sequence without slowing things down? Without clear routing, signers can stall the process. Use signing order in Docusign eSignature to control who signs when—sequentially, in parallel, or a mix—and preview the flow with the Signing Order Diagram before you send.Control recipient flow: send to everyone at once (parallel by default) or in a defined sequence Mix sequential and parallel steps to match real-world approvals Arrange recipients by dragging or typing numbers; numbering doesn’t have to be consecutive Catch issues early with the Signing Order Diagram and track status in the Signing Order tab Fix routing after send with Correct, including enabling signing order on a sent envelopeExample Use CaseManager signs first (1), Legal and Finance sign in parallel (2), and the COO signs last (3). Legal and Finance can move as soon as the manager finishes, and the COO only sees the envelope when all required approvals are complete—keeping work moving whi

Need to collect signatures on demand? Maybe you have a form you’d like individuals to fill out or a request process that should be kicked off at any time? Docusign’s PowerForm feature could be your answer.PowerForms are self service envelopes that you can create and distribute externally. You can publish the PowerForm’s URL on your company website/intranet or send it through an email.PowerForms are created from envelope templates. There are a few requirements your template needs to meet in order for it to become a PowerForm.Your envelope template must:Have at least one document Have at least one recipient. The first recipient is the one who will be initiating the PowerForm from the URL. Any other recipients will be invited through the standard envelope delivery method.  The first recipient must have the “needs to sign” action Learn more about envelope template requirements for PowerForms here.Example Use CasePowerForms are great in scenarios where you want the recipient to initiate the

Your eSignature users may not be aware that an eSignature template for the document they’re preparing to send to a customer may already exist in your eSignature account.  As a result, they may be spending unnecessary time going through the process of creating an envelope when instead they can just use a template that has been already configured for them in your accountAvoid this unnecessary time waste by utilizing a feature called Automatic Template Matching.Automatic Template Matching scans the text of a document upon upload during the envelope creation process to determine if that same document may already exist in a template.  If so, you can simply click a button to apply that template to your document and your envelope is configured!Take a look at this Trainer Tip video in which Product Trainer Glen Steinhardt shows you how to configure Automatic Template Matching for your account Key Take-aways:This feature is already enabled for all eSignature accounts by default!
