Restrict Send for Signature in CLM

If you need to stop certain subsets of CLM users from having the ability to send a document for signature, you want to be sure that you not only train them that it’s not part of their responsibility, but withhold that capability from the software entirely so it’s not even possible for them to do so.

 

What This Feature Does (and Why It Matters)

Navigation & Actions is a powerful feature in CLM for Administrators to hide certain menus and functions within CLM.

  • Limit access by configuring certain subsets of users in certain assigned personas from sending.

  • Reduce voided envelopes by ensuring documents aren’t sent in error

Example Use Case

We want users on our Sales team to be able to view documents and send them out for external review to their customers, but it’s not part of their role to then send those documents for signature.  That responsibility is for someone else on another team, so we want to hide the capability from everyone assigned in CLM to the Sales persona.

 

How to Configure or Use This Feature

Follow these steps in the Docusign CLM:

  1. Create a User Group in Docusign Admin Creating a group also creates a Persona to assign those users to

  2. Access CLM > Navigation and Actions This is the area an Admin can hide certain menus and capabilities from users

  3. Update Persona Access Remove access to those menus for users in that Persona under ‘Browse Document Actions’ and ‘Document Management Actions’

  4. Add Users to Persona Add the Persona to your users in their User Profile

Best Practices

  • Assign all Users to Personas to ensure they have access to only the menus and features they need.

  • Create a test user and assign them to the profile.  Log in as that user to test everything is hidden before you assign your users to that profile.
