How to Create a CLM Document Generation Forms Library

If your team spends too much time recreating the same fields across multiple document generation forms, you are not alone. A frequent challenge in CLM workflows is the manual effort required to maintain consistency when building or updating forms. Here is how to make that process faster and more consistent.

What This Feature Does (and Why It Matters)

The Forms Library in Docusign CLM lets admins create a centralized repository of standardized fields. This helps teams:

• Save time by pulling pre-configured fields into new forms instead of building them from scratch.

• Reduce errors by ensuring data points are labeled and formatted identically across the organization

• Improve consistency through a single point of control for field updates.

Example Use Case

A legal operations team needs to include a "Governing Law" dropdown menu on five different contract generation forms. Instead of building that dropdown five times, they create it once in the library and reference it across all five forms.

How to Configure or Use This Feature

Follow these steps in the Docusign CLM:

1. Navigate to Admin > Document Generation > Forms Library.

2. Click "Create Library" to start a new collection of fields.

3. Build out library fields as needed; the process is identical to building fields within a standard document generation form.

4. Add library fields to your document generation forms by clicking "Add Field" and selecting "Library Field".

• Audit your library regularly to remove deprecated fields and keep the selection list manageable. As a note, if a library field needs to be edited, you’ll need to click “Refresh” on the field on any document generation forms it has been added to for the changes to apply.

• Standardize field logic (such as required fields or data validation) at the library level to ensure it carries over to every form.
