How to automatically populate text fields and then bulk send when the recipient only receives a copy

I’m trying to bulk send a letter to a few hundred recipients.  This letter is informational only and does not require the recipient to sign or acknowledge receipt. I would like to have a few text fields within the letter auto populate with the recipient name/ID so that the letter is personalized to the recipient. 

How do I format my csv so that the fields are automatically populated for bulk send?

All the information and tutorials I’m finding are for recipients that need to sign or acknowledge receipt instead of just receiving a copy of the envelope.

Here’s How to Format CSV for Bulk Send When Recipients Only Receive a Copy and Fields Are Auto-Populated

To bulk send personalized informational letters where recipients only receive a copy (no signing required), and fields are auto-populated, follow these steps:

1. Template Setup for Bulk Send (Read-Only/Auto-Populated Fields)

  • Edit your template: Ensure that recipient roles are set as placeholders (not fixed name/email), so the CSV can populate both recipient info and any read-only/personalized fields.
  • Assign fields: Place text fields in your document and assign them to the recipient role (e.g., "Recipient" or "CC").

2. Download the Bulk Send CSV Sample

  • After updating your template, download the CSV sample from the Bulk Send entry page.
  • The sample will include columns for:
    • Recipient Name and Email (e.g., Recipient_UserName, Recipient_Email)
    • Any fields you want to populate (e.g., Recipient_Field1, Recipient_Field2)
Excerpt:
"Go to the Bulk Send entry page and select the updated template. Download the CSV sample file again. The columns for the read-only fields will now be present. In the CSV, add the recipient's name and email in the [Role]_UserName and [Role]_Email columns, and fill in the data for the read-only field columns."

3. Populate Your CSV

  • Fill in each row with recipient information and the personalized field values.
  • Example CSV columns:

Recipient_UserName,Recipient_Email,Recipient_ID,Recipient_CustomField John Doe,john.doe@email.com,12345,Welcome John! Jane Smith,jane.smith@email.com,67890,Welcome Jane!

  • Each recipient will receive a personalized copy with fields auto-populated.

4. Recipient Role: "Receives a Copy" (CC)

  • Ensure the recipient role is set to "Receives a Copy" (not "Needs to Sign" or "Needs to View").
  • This ensures recipients receive the envelope with no signing or acknowledgment required.

Thanks for your response! I’m still having trouble following your instructions.  Specifically the highlighted part above. As the recipient is listed as “receives a copy” there is not a way to select that recipient when I add the text fields in the template. My only option is “sender fields” but these will not show up on the CSV when I download the bulk send sample file.

Is there a way around this?
