Question

View only during the whole process

Hello,

We have documents that must be signed by several people in a specific order. In addition, there is one person who only needs to monitor the entire signing process without signing the document. We added this person as a "View Only" recipient at the end of the routing order. The person also needs to be able to print a copy of the document.

However, we noticed that this recipient receives access to the document only after all signers have completed the signing process.

What needs to be configured so that this person can access and view the document at any time during the signing process, while still not being required to sign?

Thank you for your advice.

Hi @Top26,

Welcome to the Docusign Community! It’s great to have you here. I understand you need help configuring one of your recipients. I’m happy to assist.

This behavior is expected because the view-only recipient was placed at the end of the sequential routing order. The recipient is notified and granted access only when the envelope reaches that routing position.

To allow this person to access the document while signing is in progress, configure them as follows:

  1. In the Prepare view, enable Set signing order.

  2. Change the recipient action to Receives a Copy.

  3. Place the recipient at routing order 1, or at the earliest point when access should begin.

  4. Send the envelope.

A Receives a Copy recipient does not need to sign or complete any fields, but can view, download, and print the document. By placing the recipient at the beginning of the routing order, they can access the envelope before and during the other recipients’ signing steps.

If you need Docusign to record that the recipient opened the document and send reminders, use Needs to View instead, and place that recipient at the beginning of the routing order. This role requires the recipient to open and view the document, but does not require a signature.

I hope this helps! Let me know if you have any questions.
