The Live Chat doesn’t do anything when I click on it!

Anyway, it appears that documents are retained in DS indefinitely, is that correct?

From a GDPR point of view, when we no longer deal with a client, we need to remove any documents pertaining to them, that’s fine from an individual user point of view but we have many users who may have sent an envelope to a particular client - is there a way that an administrator can search all documents without having to go into each user’s account individually?

I’m sorry to hear about your concern regarding managing envelopes across all users in the account. I understand how important it is to track down envelopes sent to clients you are no longer working with and take care of any related documents.

 

An admin can utilize the reporting feature to locate envelopes associated with a specific recipient. By generating an Envelope Report, you can filter results by recipient name or email address, sender, date range, and status. This allows the admin to identify which user sent the envelope without needing to access each account individually. Once the report has been generated, you can export the data as a CSV file for easier review and tracking.

Good afternoon, a further query, if I may please.

We clearly need to get into a habit of regularly deleting documents that we have dealt with but, in the meantime, is there any way that an administrator can bulk delete items for a) either themselves in relation to one or more clients, or b) on behalf of the team?  

Also, is there a facility whereby we can set up an automatic deletion after, say, 2 months?

Thank you for getting back to me.

If I understand it correctly, you would like to bulk-delete envelopes or documents at the user level or on behalf of another user. Also, looking for an option to set automatic deletion for a specific period. I’m happy to help! 🙂

On a user level or as the sender, they can try the following steps to do a bulk envelope deletion:

1. Go to Agreements > All Agreements

2. Use the Date filter to customize the start and end date

3. Select envelopes for deletion

4. Click on the 3 dots on top (beside the Move button), then click Delete

An admin can set up Shared Access to users and grant permission where the other user can void envelopes on behalf of another user. Please take a look at how the Shared Access works, and its permission through this article: Shared Access to Envelopes

Regarding the automatic envelope deletion, Docusign offers a Document Retention Policy, which allows an admin to set the number of days to retain completed, declined, and voided documents. Setting a document retention period is optional. By default, Docusign securely retains all customer documents on the service for as long as the account is active.

If you have set up document retention in the account, please take note that documents will no longer be retrievable from Docusign once deleted. To ensure continued access to important documents, we recommend downloading and securely storing completed envelopes outside of Docusign.
