How to Collaborate on Documents with Comments with Docusign CLM

Feel like you have countless email threads and slack/MS Teams conversations related to an agreement? Well, you can consolidate all your questions, feedback, and conversations related to a document using CLM comments.

With CLM Comments you can:

  • Tag Others: By typing @ in a comment, CLM sends an email notification to the tagged individual or team.
  • Create Tasks: Comments can be turned into assigned tasks. Tagged users receive task items in their task inbox.
  • Sync MS Word Comments: Comments sync seamlessly between Docusign and desktop versions of Microsoft Word (for .docx files) upon upload and download.
  • Receive Slack Notifications: You can view, reply to, and resolve CLM comment tasks directly from the Docusign for Slack app.

 

Let’s look at an example. Maybe I am a Sales Representative who is drafting a contract for a customer. I want my manager to review the document and provide me with feedback. I can easily highlight text on the contract and add a comment tagging my manager. I can even assign the comment as a task for my manager. They’ll receive an email notification and a task in their inbox in CLM. The manager can review the comment and reply as well as mark as resolved when applicable!

 

To utilize comments in CLM:

Step 1: Access a document from the Documents tab

Step 2: Highlight certain text that will pertain to the comment

Step 3: Add desired comment text

Step 4: Choose if you’d like to tag users and/or assign the comment as a task

Step 5: Post the comment!

Remember these best practices when using CLM comments:

  • Tag users! If you’d like someone to be notified when the comment is posted, make sure to tag them and/or assign the comment as a task.
  • Enable comment syncing - This feature can be enabled within your CLM Admin Settings > Document & Folder Settings. This allows for comments that are added in MS Word to sync as CLM comments when the document is uploaded. It also ensures that CLM comments sync as MS Word comments when the document is downloaded.
  • Enable the Slack integration - This allows users to receive notifications in Slack when they’re mentioned in a CLM comment.
