In a recent Community event, Docusign University Sr. Technical Trainer Chessie Aleman explored the latest features and capabilities in Docusign Navigator, followed by a live Q&A with onboarding consultant Phillip McDaniels.

Below, you’ll find key insights from the event and the full recording of the Q&A to watch on-demand.

Key takeaways:

  • Flexible permission management, with more automation on the horizon: Navigator gives admins full control over who can access what. Right now, permission settings are managed manually—perfect for tailoring access based on specific needs. And for those looking to scale, automated provisioning is already on the roadmap.

  • Metadata that moves with you (soon): Docusign Iris extracts rich, structured data from your agreements—making it easier to track, organize, and analyze documents. Export functionality for metadata is actively being explored by the product team, with integration use cases top of mind.

  • Multilingual by design, with even broader support coming: Docusign Iris is built to understand and process documents in multiple languages. Japanese language support is still in development, but expanding global language coverage is a high priority for the team.

  • OCR that brings scanned docs to life: Navigator’s built-in OCR (Optical Character Recognition) makes it possible to search and analyze scanned documents with AI. For best results, uploading high-quality scans ensures accurate and meaningful data extraction.

  • Easy to pick up—no steep learning curve required: Whether you're brand new to Navigator or transitioning from another tool, the platform is designed with simplicity in mind. A quick hands-on walkthrough is often all it takes to get up to speed and start working with confidence.

During the webinar portion of the event we got some great questions about Navigator permissions. I wanted to post my responses below for future reference.

By default, all users (including DS Admins) will only see their agreements in Navigator. This includes completed agreements they sent/received via Docusign eSignature or any documents they've uploaded into Navigator manually.

If necessary, a DS Admin can grant a user or user group access to "View All Agreements in this Account". This grants the user the ability to view all agreements in Navigator.

Agreements can also be shared directly with other users or groups via the Navigator completed documents table. Simply click the ellipsis icon for the agreement > Share.

The final way to share agreements is through Agreement Sets. Agreement Sets are sort of like "Groupings" of agreements. For example, I could create an Agreement Set for "Offer Letters" and then add the Offer Letter documents to the Offer Letters Agreement Set. Then I can share that set with other users or groups on my account. To learn more about Navigator Permissions and Sharing, view this article.

There was also one question that required follow up during the Ask the Expert event. See below for question and answer.

Question: Can I download a list of the documents and the associated attributes from Navigator?

Answer: Yes. Go to Agreements > Completed folder > Documents drop down >  Apply any filters necessary to narrow down your list > Customize the columns on the completed documents table to show whatever attributes you want to include in your export > Select the checkbox to select all agreements > Export to CSV.
